As a Junior Project Assistant / Project Coordinator, you will support our international digital and technology projects. You will work closely with external project managers, coordinate project information, and help ensure smooth, structured workflows across the team.
You will use our internal project tool to capture and update key project information and keep the data provided by external project managers complete, structured, and up to date.
YOUR TASKS
Key Responsibilities
- Coordinate and communicate with external project managers
- Collect and follow up on status updates, deliverables, and forecasts
- Maintain and update project information in the internal project tool
- Perform basic checks for data completeness and plausibility
- Financial & Project Controlling support:
- Prepare billing inputs (e.g., hours, milestones, deliverables, purchase requests)
- Pre‑check invoices and align with POs, contracts, and approvals
- Reconcile timesheets and forecasts; flag variances and risks early
- Coordinate with Finance/Controlling on month‑end activities (e.g., accruals basics, cut‑off data)
Your Profile
Requirements:
Must‑have
- Excellent English skills (written and spoken)
- Strong initiative, structured work style, and reliability
- Confident with MS Office (Excel, Teams, Outlook) — solid Excel skills for lists/checks
- Interest in organization, coordination, and basic finance/project‑controlling tasks
Nice‑to‑have
- German language skills
- First experience in project assistance, PMO, coordination, or basic billing/admin work
- Basic understanding of digital or IT‑related topics
Suitable Education / Background:
Highly suitable
- Commercial/administrative vocational training (e.g., Office/Industrial Clerk)
- Background as Project Assistant / Office Assistant
- Bachelor’s degree in Business Administration / International Business / Management / Business Informatics
Suitable
- IT‑related vocational training
- Degrees focused on communication, languages, or administration
- Accounting/Controlling basics (coursework or certificates) are a plus
